Managing & deleting your data
Delete exactly what you choose — specific categories or everything — with an owner-only, carefully-guarded flow.
When you want data gone, Coalface lets you remove exactly what you choose — not all-or-nothing, and not by accident. This is the Delete data tool in Settings → Data.
Owner-only
Deleting data is limited to the workspace owner. Other members see the Data page but can’t run a deletion. This keeps a powerful action in one pair of hands.
Choose what to delete
You pick from categories rather than wiping blindly — for example:
- Tasks, boards and notes
- Bookmarks and priorities
- Labels and tags
- Vault values and attachments
- Time sessions, data tables and dashboards
- Site Health sites and findings
- Automations, API keys and webhooks
…or choose Everything.
Guardrails
The flow has deliberate friction so nothing goes wrong:
- Pick what to delete.
- Review an impact warning, choose how to handle connected integrations, and optionally set an age filter (only delete records older than a number of days).
- Type
DELETEto unlock the button.
What’s protected
- Other people’s private work isn’t touched unless you deliberately opt in.
- Connected sites can be kept, disconnected (the WordPress side keeps its data) or fully removed — your choice.
- Deleting tasks also cleans up their attachments in storage, so nothing is left orphaned.
Attachments and files
Because deletion clears the underlying files too, a wipe genuinely removes the data rather than leaving files behind — which matters for privacy and data-protection obligations. See your data & privacy for the wider picture.
The short version: the workspace owner can delete specific categories or everything from Settings → Data, with an impact review, an optional age filter, and a type-
DELETEconfirmation. Other people’s private work is safe unless you opt in.
