Inviting people
Add your team, choose what each person can do, and share the right boards with the right people.
Coalface works solo, but it’s built for teams too. This guide covers adding people and controlling what they can see and do.
Invite someone
- Go to Settings → Members.
- Enter their email address and send the invite.
- They’ll get an email to join your workspace.
Roles
Each member has a role that sets what they can do — from full admins who manage the whole workspace, down to guests who only see the specific boards you share with them. Choose the lowest role that lets someone do their job; you can change it later.
Who sees which boards
Boards are organised into groups, and visibility follows the group:
- Shared groups are visible to the members you add.
- Private groups — including everyone’s personal My Boards — are visible only to their owner.
So to bring someone into a piece of work, put its board in a shared group they’re a member of. To keep something to yourself, keep it in a private group.
Keeping client and team work separate
This group model is how agencies keep client work private while still collaborating internally — see for agencies for how private groups and roles combine. If you also want per-field secrecy, the Vault hides sensitive values from everyone but managers.
The short version: invite people in Settings → Members, give each the lowest role that fits, and control what they see by which board groups they’re in.
