Tasks & subtasks

Create tasks, break them into subtasks, and use priority, due dates, labels and assignees to keep work moving.

Tasks are the heart of Coalface Tasks. A task is one piece of work; subtasks break it into smaller steps. This guide covers creating tasks and the fields you’ll use most.

Create a task

On any board, click + Add task at the bottom of a column, type a title, and press Enter. That’s the whole thing — a task needs nothing more than a title to exist.

To fill in the detail, click the task to open its panel.

The task panel

Clicking a task opens a panel with everything about it in one place:

  • Description — the full write-up. This field is encrypted at rest, so only your workspace can read it.
  • Priority — none, low, medium or high. Priority drives filtering and the daily focus list.
  • Due date — when it’s due. Overdue tasks are flagged using your own timezone (see views).
  • Assignee — who’s responsible.
  • Labels — colour-coded tags for filtering (for example bug, client work, this week). See labels & filters.

Changes save as you go — there’s no separate save button.

Subtasks

Inside the panel, add subtasks to break the work into steps. Each subtask has a title you can tick off, and the task shows a progress tally (for example 3/5) so you can see how far along it is at a glance.

Subtasks are ideal for checklists — the steps to ship a feature, the items in a content brief, the stages of a client hand-off.

Move a task

Drag a task between columns to change its status, or reorder within a column to change its priority in the list. You can also move a task to a different board from its panel.

If you have the Automations extension on, moving a task can trigger follow-up actions automatically.

Find and filter

Use the filter bar above a board to narrow it down by priority, assignee, label or due date. For finding a specific task, use search in the top bar — it looks across titles, and (when you opt in) descriptions and comments too.

The short version: click + Add task and type a title. Open a task to add a description, priority, due date, labels and subtasks. Drag to move it between columns.
