Activity log

The activity log gives each task a running history — moved, assigned, completed, commented on — so you can see how a piece of work got to where it is.

Turn it on

The activity log is off by default. Switch it on in Settings → General → Extensions, then adjust what’s recorded under Settings → Activity Log.

What you see

Open a task and you’ll find a merged timeline of notes and activity together — comments alongside the events that happened around them. It answers “what’s the story with this task?” without you having to piece it together.

Recorded events include things like a task being moved between columns, assigned to someone, marked complete or reopened.

Keeping the noise down

Some events matter more than others. You can filter out the noisier kinds so the timeline stays useful rather than a wall of entries.

Data retention (always on)

Separately from the activity log, Coalface has an always-on data cleanup policy. You can set how long to keep old data per group, and a daily job tidies up anything past that window — with a sensible minimum so nothing recent is ever removed. This keeps your workspace lean and helps with data-minimisation obligations.

Good to know

The activity log is one of three things that hang off the same underlying event stream — the others being automations and notifications. That’s why the same task event can trigger a rule, send a notification and appear in the log, all consistently.

The short version: turn it on for a per-task history of who did what, shown alongside comments. Tune out noisy events, and set per-group retention so old data is cleaned up automatically.
